Workday Transition: Timesheet Entry and Approvals

As we prepare for the transition to Workday, we want to ensure all supervisors of student employees are aware of important time reporting activities.  Below are key dates during the transition that may impact you and your student employees.

Timesheet Entry & Approval

  • June 30, 2025: All time with an effective date of June 28, 2025, or earlier, must be submitted and approved in HRS. 
  • July 5, 2025: All time from June 29 to July 5, 2025 must be entered into HRS timesheets by 11:59 pm. 
    • Timesheets in HRS will become view only at 11:59pm on July 5, 2025. 
    • Time for June 29 to July 5, 2025 will be approved in Workday.
  • July 6, 2025: All time from this date moving forward must be entered into Workday.

Web Clock Entry

  • July 5, 2025: For all punches through 11:59pm on 7/5/2025 will utilize the current web clock process. 

While not required, student employees are encouraged to complete the Workday Fundamentals: Workday for All Employees course found in Canvas. This course demonstrates how to navigate the home page, update personal information, and enter time. Students can find this information in their Universities of Wisconsin instance of Canvas. If your student employee has not completed this course, please promote this opportunity!
